Office / Finance Manager

adeo is seeking a highly organized and detail-oriented Office / Finance Manager to join our dynamic team. This role is pivotal in managing various administrative, financial, and bookkeeping tasks to ensure the smooth operation of our creative services firm. Note: This position will likely start as part-time (15-20 hrs per week) but our hope and intention is that it evolves into a full-time position.

Key Responsibilities:

Office Management:

  • Oversee daily office operations, ensuring a high level of organizational effectiveness. Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Ensure internal documents and contracts are fully executed, recorded and organized.
  • Review internal time tracking, reporting, equipment / supply needs, etc. 

Financial Oversight:

  • Conduct invoicing and billing activities with precision.
  • Manage bookkeeping tasks and maintain financial records using QuickBooks.
  • Identify opportunities for cost savings and efficiency improvements.
  • Assist in basic tax preparation and compliance in coordination with our CPA firm.

Client and Vendor Relations:

  • Maintain positive relationships with clients and vendors.
  • Follow up on late payments and handle receivables effectively.
  • Coordinate with various state goverment offices regarding out-of-state employees, payroll, certification statuses, etc.
  • Negotiate with vendors to optimize cost-efficiency.

Communication and Reporting:

  • Exhibit excellent written and verbal communication skills for client and vendor interactions.
  • Prepare financial reports and present findings to the management team when requested.
  • Be proactive in suggesting improvements and solutions in financial and office management processes.

Flexibility and Adaptability:

  • Ability to transition smoothly between diverse tasks while maintaining attention to detail and accuracy.

Requirements

  • Proven experience in office management, financial management, bookkeeping, or a related field.
  • Proficiency in QuickBooks and familiarity with basic tax concepts.
  • Exceptional organizational and multitasking skills.
  • Strong analytical abilities with a focus on details and data.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.

Qualifications 

  • Bachelor’s degree in Business Administration, Finance, Accounting, or related field preferred
  • 3+ years related experience working in a similar role in a client services business preferred
  • Proficient and actively engaged with emerging AI tools and resources
  • Experienced in common management tools (Quickbooks, ClickUp, Harvest) and all primary Microsoft applications including Word, Excel, PowerPoint, etc.
